Privacy policy

This document describes what personal data we collect on the axisway.com website, why we do so, who we entrust it to and what rights you have. We tried to write it so that it can be read without a lawyer.

1. Who is the data controller

We have not appointed a data protection officer – for all matters concerning data processing you can write directly to the address given above.

2. What data we collect

2.1. Contact form

By sending the "Free consultation" form, you give us:

• the name you enter,
• contact details – an email address or a phone number,
• company size, if you provide it,
• the content of your message.

2.2. Technical data sent with the form

Together with your submission, technical context is sent that helps us assess where the inquiry came from and what device you are using. We say this openly, because there is quite a lot of this data:

• IP address (read from the X-Real-IP header),
• information about the browser and system: user agent, platform name and version, device model, architecture, list of browsers,
• language settings, time zone and time offset,
• screen resolution, window size, pixel density, number of touch points,
• the address of the page from which you reached our website (referrer), the landing page address and campaign parameters from the URL (utm_*, gclid, fbclid and similar),
• the address of the subpage from which the form was sent and the label of the button that opened it.

We do not determine your location from your IP address. A mechanism for such a check exists in the code, but it is switched off – we do not send your IP address to any external service for this purpose.

2.3. Visit statistics

We use Google Analytics 4. The analytics script loads only on your first interaction with the page or when you leave it – so merely opening the page does not yet cause any exchange of data with Google. Analytics collects data about traffic on the website, including an identifier assigned to the browser, approximate location at city level and information about the device.

2.4. Data stored in your browser

In the browser's session storage (sessionStorage, key axw_visit) we save the source of your visit – referrer, landing address and campaign parameters. This data disappears when you close the tab and is not sent anywhere other than the contact form. Google Analytics uses its own cookies.

We serve fonts and all graphic files from our own server – opening the page does not send any data to external font providers or CDNs.

3. Why we process data and on what legal basis

• Replying to an inquiry and preparing an offer – Article 6(1)(b) GDPR (steps prior to entering into a contract) and Article 6(1)(f) GDPR (our legitimate interest in conducting business correspondence).
• Technical data and spam protection – Article 6(1)(f) GDPR; our legitimate interest is protecting the form against abuse and recognizing the context of the inquiry.
• Statistics and measuring effectiveness – Article 6(1)(f) GDPR.
• Settlements and accounting records, if we end up working together – Article 6(1)(c) GDPR (legal obligation).

4. How long we keep data

• Correspondence from the form – up to 24 months from the last contact, unless you ask for deletion earlier.
• Data related to a concluded contract – for the duration of the contract and the limitation period for claims.
• Accounting documents – 5 years, counted from the end of the tax year, in accordance with tax regulations.
• Data in Google Analytics – according to the retention settings in the service.

5. Who we entrust data to

Data may go to entities that provide us with technical services:

• the hosting provider on which the website and mailbox run,
• the outgoing mail provider (SMTP) used to send form submissions,
• Google Ireland Limited – with regard to Google Analytics,
• the accounting office and advisers – to the extent necessary for settlements,
• authorized state authorities, if they make a request on the basis of legal provisions.

We do not sell data and do not share it with third parties for marketing purposes. Using Google Analytics may involve transferring data outside the European Economic Area – this takes place on the basis of standard contractual clauses approved by the European Commission.

6. Your rights

In connection with the processing of data, you have the right to:

• access your data and receive a copy of it,
• rectify data that is incorrect,
• erase data,
• restrict processing,
• data portability,
• object to processing based on a legitimate interest,
• lodge a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw) if you believe we process data unlawfully.

It is enough to send your request to info@axisway.com. We reply without undue delay, at the latest within one month.

7. Is providing data mandatory

Providing data is voluntary, but without contact details we will not be able to reply to your inquiry. We do not make decisions about you based solely on automated processing, including profiling, that would produce legal effects.

8. Changes to the policy

If we change the scope of data collected or the tools we use, we will update this document and change the effective date shown at the top of the page.
