AI implementations

AI implementation in a company – from process audit to a working solution

Artificial intelligence pays off when it targets a specific process: answering phones, replying to the same customer questions, re-entering data between systems. We start with an audit, pick the 3–5 processes with the shortest payback time and implement them one by one – the first working version is ready in 7–14 days.

Scope of work

What exactly we implement

We do not sell "artificial intelligence" as a buzzword. Each of the elements below solves a measurable problem and can be launched on its own.

AI chatbots

A text agent on your website, in Messenger, WhatsApp and Telegram. It answers questions about your offer, prices and availability, collects contacts and hands the conversation to a person when the matter goes beyond what it can handle.

AI voice agents (voicebot)

It talks on the phone around the clock: answers calls, books appointments, takes orders and calls customers back. It takes repetitive calls off your front desk – the ones nobody enjoys answering anyway.

Business process automation

Re-entering data between systems, qualifying inquiries, preparing quotes and reports, handling the email inbox. Anywhere an employee performs the same sequence of steps a dozen times a day.

RAG systems and knowledge base

The model answers solely on the basis of your documents – price list, terms, manuals, order history. That way it does not make things up and gives current information, and you update the knowledge without reprogramming the bot.

Local LLM models

For companies that cannot send data to external providers: the model runs on your hardware – a Mac Mini or a server with a graphics card – in a closed network. The data never leaves your company.

Integrations with company systems

CRM, booking calendar, warehouse system, payment gateway, phone exchange. An AI agent is only useful once it has access to the data and can carry out an action, not just give advice.

How implementation works

Four stages, each with a concrete result

At every stage you know what you get and what it costs. No open-ended budgets.

  1. 01
    Process audit

A conversation about how your company works today: where inquiries come from, who handles them, where bottlenecks form. The result – a list of 3–5 processes ranked by return on investment time, with an estimate of savings in hours and in zloty.

  2. 02
    Design and quote

We choose the scope, models and channels, and design conversation scenarios and handover points to a person. You get a schedule and a fixed subscription price. If your company qualifies for a PARP (Polish Agency for Enterprise Development) grant, we prepare the documentation at this stage.

  3. 03
    Launch

We build the knowledge base, configure the agent on the Twinlix platform, connect channels and systems, and test on real inquiries. First working version in 7–14 days; implementations with CRM integration or a local LLM take 4–8 weeks.

  4. 04
    Growth

Every month we review conversation transcripts: what the agent did not know, where it handed over too quickly, what new questions appeared. The knowledge base and scenarios grow along with your company – this is part of the subscription, not a separate order.

Who it is for

When AI implementation makes sense

Not every company will see AI pay off in the first quarter. Below are the situations where the return is fastest – and those where it is better to wait.

01

Lots of repetitive contacts

  • Dozens of calls and messages a day
  • The same questions about price, lead time, availability
  • Inquiries outside working hours
02

Knowledge scattered across files

  • Price lists and manuals in several versions
  • A new employee takes weeks to get up to speed
  • Answers depend on who happens to pick up
03

Manual data re-entry

  • Moving orders between systems
  • Creating quotes and reports by hand
  • Hours of work on tasks that involve no decisions
04

When it is better to wait

  • The process changes every week and is not documented
  • A few inquiries a month – cheaper to handle by hand
  • No one on your side to be our point of contact

FAQ

AI implementation – questions

How much does AI implementation in a company cost?

We bill on a subscription basis, with no separate implementation fee. An AI chatbot on your website and in messaging apps fits in the Basic package, an AI voice agent for phone service in the Standard package, and local LLMs on the client's server are priced individually. A PARP grant covers up to 75% of costs, so the real investment is usually one quarter of the price-list amount. We give an exact quote after a free audit.

How long does AI implementation take?

The first working version is ready in 7–14 days: that is how long it takes to gather the knowledge base, configure the agent, connect the channels and test. Implementations that include CRM integration or local LLMs on the client's infrastructure usually take 4–8 weeks.

Do I need my own IT department?

No. On your side you need one person who knows the processes and can answer questions – usually the owner, an office manager or someone from customer service. We take care of configuration, integrations and maintenance. An IT department only becomes useful with local LLMs on your own servers, but there too we run the installation from start to finish.

What about GDPR and data security?

We work in compliance with GDPR, sign a data processing agreement and limit the data passed to the model to the necessary minimum. For privacy-sensitive companies – law firms, healthcare, finance – we offer a variant with a local LLM, in which the data never leaves your network.

Does the AI Act apply to my company?

If you use AI in contact with customers – almost certainly yes, though most often in its mildest form: the obligation to inform people that they are dealing with an AI system, and to keep documentation. We check this at the audit stage and set up the notices and the register in line with the requirements.
