We write down why people call and how your front desk handles it today. From that we build the conversation scenarios and the rules for handing off to a person – when the bot should step back and not try any further.
We choose the voice, pace and manner of speaking, and connect the number through your phone system or a VoIP provider. The bot can answer all calls, or only those your team doesn't pick up within a few rings.
Two weeks of test calls: we listen to the recordings and fix the places where the bot misunderstood or answered too stiffly. Only then do we redirect production traffic.
Every month we review transcripts and extend the knowledge base. The share of calls handled without a person grows over the first two to three months, and that is a normal course, not a sign that something went wrong.

The voice sounds natural, but we don't pretend to be a person – at the start of the call the bot says it is an AI assistant. The AI Act requires this, and in practice it works in your favor: the caller knows they can ask to be transferred to an agent, and gets irritated less often.
A voice agent fits the Standard package – a monthly subscription plus the cost of phone minutes from your carrier. With typical front desk traffic, the cost of one handled call is several times lower than the cost of a person's time on the same call. A PARP (Polish Agency for Enterprise Development) grant covers up to 75% of implementation.
We connect over SIP to most phone systems and VoIP providers. You can also keep your current number and route only missed calls or calls outside business hours to the bot – the most common starting option, because it changes nothing in your team's daily work.
After a second failed attempt it transfers to a person, and if nobody is available it collects the number and the matter, and schedules a callback. We set it up this way on purpose: it is better to hand over the call too early than to wear the customer out with a loop of questions.
